Every office. One workplace platform.

Room booking, hot desks, visitor check-in, room displays, parking, wayfinding, and emergency mustering -- built for HQs and regional offices that run more than one building.

Built for the way global IT and workplace teams actually work

Multi-building from day one, calendar sync that does not break, SSO that plugs into your existing identity provider, and the audit trail your security team will ask for.

Multi-building, multi-floor scheduling

Run several offices under one tenant. Scope rooms, desks, and visitor flows per building. Per-location admins handle on-site operations without touching another building's calendar.

Microsoft 365 and Google Workspace sync

Bi-directional calendar sync with Outlook and Google Calendar. Employees book in the tool they already use; BellKeep stays in lockstep, conflict detection included.

OAuth, SAML, and LDAP single sign-on

Drop BellKeep behind your existing identity provider. OAuth/OIDC and SAML SSO with JIT provisioning, LDAP for legacy directories. Per-company SSO configuration, audit-logged.

MFA, RBAC, audit logs out of the box

TOTP-based MFA with backup codes, account lockout on brute-force, role-based access control, and tamper-evident audit logs for every user, MFA, and SSO event.

Visitor pre-registration by the host

Employees pre-register guests in seconds. BellKeep emails an arrival link and Apple/Google Wallet pass. Photo capture, NDA signing, watchlist screening, and badge printing on arrival.

In-room displays without proprietary panels

Turn any tablet, Chromebox, or TV into a room display. Each room gets a tokenised URL. Build lobby boards and per-floor signage with the same drag-and-drop screen builder.

What a normal Tuesday looks like on BellKeep

Four moments that already happen in your office today, mapped to the BellKeep surfaces that handle them.

Book a room from the calendar you already use

An engineer drafts a 30-minute design review in Outlook. The BellKeep Outlook overlay surfaces available rooms with the right capacity and the right amenities. One click, the booking lands in BellKeep and the room shows it on the in-room screen the moment they arrive.

Host a customer without paperwork

An account executive pre-registers a visitor for tomorrow. The guest gets an email with a wallet pass before they leave the hotel. At reception they scan a QR code, sign the NDA on their phone, and a badge prints itself.

Catch room-utilization issues before facilities does

The workplace lead opens room analytics, sees that the 12-person boardroom is booked 80% of the time by two-person standups, and rebalances. Bookings move to the right rooms without a single calendar invite being deleted by hand.

Account for everyone when the alarm goes off

A drill kicks off. Floor wardens open the emergency dashboard on their phone. Employees and visitors check in at assembly points via QR. The muster list updates in real time so the warden knows exactly who is still inside.

Most corporate offices land on Professional or Enterprise

Professional covers up to 100 users, 10 buildings, 25 rooms per building, advanced analytics, custom branding, in-room displays, and public API access. Enterprise removes the caps and unlocks OAuth/SAML/LDAP SSO, custom integrations, and a dedicated SLA.

200 people, three buildings, one afternoon

What a 200-person corporate office spread across three buildings can stand up in a single afternoon -- without a deployment plan, an IT ticket queue, or a hardware order.

Sign up and add the three buildings

The workplace lead signs up with their work email. They add three buildings, pick the timezones, and invite the on-site office managers as per-building admins.

Connect Microsoft 365 calendar sync

Each person connects their Microsoft 365 calendar so BellKeep bookings sync both ways with Outlook. Rooms are created in BellKeep; existing Exchange room mailboxes and their booking history are not imported.

Stand up lobby kiosks and per-floor displays

On-site managers open the touchless check-in URL on a spare iPad at each lobby. Per-floor displays open the in-room screen URL on the existing TVs by the lift -- today's bookings, wayfinding, and weather appear within minutes.

Wire up SSO and roll out to employees

On Enterprise, SAML SSO is configured against the identity provider; JIT provisioning means the first employee that signs in creates their own account. The workplace lead emails everyone the URL. By end of day, the team is booking rooms in BellKeep.

What you'll want to know

Can BellKeep handle dozens of offices in different countries?

Yes. Multi-building is built into every tenant. Rooms, resources, visitors, and admins are scoped per building. The Professional plan covers up to 10 buildings and 25 rooms per building; Enterprise removes those caps and adds a custom SLA, OAuth/SAML/LDAP SSO, and tenant-isolated branding.

How does it integrate with Microsoft 365 and Google Workspace?

BellKeep does bi-directional calendar sync with both. Employees book in Outlook or Google Calendar and the booking lands in BellKeep; bookings made in BellKeep show up in their personal calendar. The browser extension surfaces room availability inline in Google Calendar and Outlook Web.

Does it support our identity provider?

OAuth/OIDC, SAML, and LDAP are all supported on the Enterprise plan. Google and Microsoft are first-class via OAuth. Providers such as Okta, Azure AD, and Auth0 plug in via SAML or OIDC. Just-in-time provisioning is supported, and every sign-in is written to an SSO audit log.

What security and compliance controls are in place?

HTTPS with HSTS preload, strict CSP, CSRF protection on mutating requests, TOTP MFA with backup codes, account lockout, encrypted storage of MFA and SSO secrets, full audit logging, and GDPR tooling for consent, retention, and deletion requests. Data is encrypted in transit and at rest.

How fast can we get this in front of employees?

A standard rollout is hours, not weeks. Sign up, add buildings and rooms (or import from your existing calendar), connect Microsoft 365 or Google Workspace, hand out room URLs to the on-site iPads, and you are live. We help with SSO and SCIM wiring on Enterprise.

Can we give contractors and vendors limited access?

Yes. Role-based access controls let you scope contractors to specific buildings or features. They can be invited as visitors with pre-issued wallet passes, or as users with limited roles. Either way every action they take is recorded in the audit log.
