BellKeep glossary

Definitions of the workplace-operations terms used across BellKeep, and how each works in the product.

Tokenised display URL
A web address for a room or lobby screen that carries its own access token, so a device can show live room status without anyone signing in on it. Each BellKeep screen token is bound to one room or screen and only exposes that screen's data. Revoking the token turns the screen off without touching user accounts. Learn more
Touchless check-in
Visitor check-in that the guest completes on their own phone, usually by scanning a QR code at the entrance, instead of using a shared lobby tablet. BellKeep's touchless page and printable check-in posters let visitors check in from their own phone; the lobby kiosk, which also handles photos, NDA signing and badge printing, remains available. Learn more
Visitor pre-registration
Registering a guest before they arrive so check-in on the day takes seconds. Hosts add the visitor ahead of time; the visitor receives a check-in QR code and, on Professional and up, an Apple Wallet or Google Wallet pass. Learn more
Room combination
Two or more rooms with a movable wall that can be booked separately or together as one larger space. BellKeep models combined rooms explicitly, so booking the combined space blocks each member room and booking a member room blocks the combination. Learn more
Bookable resource
Anything people reserve other than a meeting room, such as a desk, parking space, piece of equipment or company car. Resources (Starter and up) have their own booking, approval and check-out flows; vehicles can carry fuel, mileage and maintenance details. Learn more
Emergency mustering
Accounting for everyone on site during an evacuation by checking people in at assembly points against a list of who is in the building. On Professional and up, BellKeep builds a muster list from signed-in visitors and staff, lets floor wardens check people in at assembly points and logs drills and events. Learn more
Member company (sub-tenant)
A separate organisation that shares a building or workspace operator's platform but has its own users, bookings and branding. Coworking operators and property managers create member companies inside their BellKeep account, with per-tenant branding, budgets and invoicing. Learn more
Two-way calendar sync
Keeping bookings consistent between a booking tool and people's work calendars in both directions, using the calendar provider's API and change notifications rather than a read-only feed. BellKeep syncs with Google Calendar and Microsoft 365 using push notifications plus a five-minute retry queue (Starter and up). Learn more
