Visitors arrive. They check in. No clipboard.

Pre-register every guest, then let them check themselves in from a lobby kiosk or their own phone. Photos, NDAs, ID scans, badges, watchlist screening, and wallet passes — all handled in the browser, all on hardware you already own.

A full visitor desk, on hardware you already own

BellKeep brings every part of a real visitor flow — check-in, screening, documents, badges, and the audit trail — into one browser experience.

Touchless QR check-in

Visitors scan a unique QR code on their own phone — no shared kiosk, no shared stylus, no queue at the front desk.

Host pre-registration

Hosts add visitors in seconds and BellKeep emails an arrival link. The kiosk recognises the guest the moment they walk in.

Apple & Google Wallet passes

Visitor badges land in the phone wallet before arrival. Guests skip the printout and check straight in.

Watchlist & audit trail

Screen every arrival against your watchlist. Every match, override, and edit is written to a tamper-evident audit log.

Photo capture with consent

On-device webcam captures the visitor photo. Consent is recorded explicitly and a retention scheduler cleans the file up automatically.

ID document scanning

Optional ID scan with OCR for sensitive sites. Documents are stored against the visit, encrypted, and purged on a schedule you control.

NDA signing on arrival

Show your NDA at check-in, capture the signature on the device, and store the signed document with the visit.

Badge printing

Print branded visitor badges to any browser-supported printer at reception — or skip the badge altogether and use a wallet pass.

Four steps from invite to checked-in

Every visit follows the same simple flow. Hosts add the guest in BellKeep, the guest gets an email, and check-in happens on their phone or your kiosk.

Host invites the visitor

From the dashboard or the calendar, the host adds the visitor with name, company, expected arrival, and any documents they need to sign.

Visitor receives an arrival link

BellKeep emails a unique link that loads their visit on any browser — phone, tablet, anything. No app install.

Touchless check-in on the day

The visitor opens the link, snaps a photo, signs the NDA if needed, and the host is notified the moment they're in the building.

Badge or wallet pass

Reception can print a badge, or the visitor adds a pass to Apple or Google Wallet so the badge lives on their phone for return visits.

Visitor management ships with every plan

The kiosk and touchless check-in are included from Free. Advanced screening, ID scanning, wallet passes, and the compliance suite tier up from there.

The rest of the workplace stack

Calendar & Bookings

Tie every visit to the booking that brought them in — or let the host attach a visitor straight from a meeting.

Room displays

Show today's visitors on lobby and reception displays, so the team knows who's expected and when.

Wayfinding

Once a visitor checks in, route them to the meeting room with QR-launched directions and a live floor map.

Visitor management, answered

Do I need a special kiosk device?

No. The kiosk is a browser page, so any tablet you already own — an iPad, an Android tablet, even a leftover laptop — will work. There is no app to install and no proprietary hardware to buy.

How does touchless check-in work?

Pre-registered visitors get a unique link by email. They open it on their own phone in the lobby, confirm their details, snap a photo if your site requires one, sign any documents, and the host is notified. The shared kiosk never has to be touched.

How do the wallet passes work?

When you enable wallet passes, BellKeep generates an Apple Wallet .pkpass and a Google Wallet pass for each visit. The visitor adds the pass before they arrive, then shows it at reception — useful for recurring guests and contractors.

What does watchlist screening cover?

Every arrival is checked against your tenant's watchlist of denied or flagged names. Matches surface an alert, the override action requires elevation, and the entire event — match, override, edit, removal — is recorded in a tamper-evident audit log.

How are photos and ID scans stored?

Photos and ID scans are stored against the visit, encrypted, and removed by a scheduled retention job. You configure how long each artefact is kept per site, and the GDPR dashboard ships with consent capture, data-subject deletion requests, and breach-notification tooling.

Can the kiosk run in multiple languages?

Yes. BellKeep ships with multilingual locales, and the kiosk renders in the visitor's chosen language. Hosts can also pre-set the language for a specific visit if they know the guest doesn't speak English.
