How to switch from Joan to BellKeep
There is no automated importer for Joan data. Here is what moving over involves.
Specific to Joan
- Keep any tablet screens and load the BellKeep display URL; e-paper Joan devices run Joan's own software and cannot be reused.
- Recreate rooms and connect Google Calendar or Microsoft 365 for calendar sync.
Step by step
- Start on the Free plan or a 30-day trial. Create an account at bellkeep.com. Free covers 5 users, 1 building and 3 rooms; every paid plan starts with a 30-day trial and no card is needed to sign up.
- Add buildings and rooms. Create each building, then add rooms with capacity and amenities. There is no automatic importer for another vendor's data, so plan an hour or two per building. Professional and Enterprise can script this through the REST API (POST /rooms, POST /buildings).
- Connect calendars. Connect Google Calendar or Microsoft 365 (Starter and up) so BellKeep bookings appear in people's calendars and changes sync both ways.
- Invite people. Invite users by email. On Enterprise, sign-in can run through OAuth/OIDC, SAML or LDAP with just-in-time provisioning.
- Move visitor check-in. Open the kiosk on a lobby tablet, enable touchless QR check-in and print the check-in posters. Export any visitor history you must keep from your old tool first.
- Repoint room screens. On Professional and up, generate a tokenised display URL per room and load it in the browser of your existing tablets or TVs.
- Run both tools for a week, then cancel the old one. Keep the old system read-only until everyone has booked through BellKeep, then cancel it.
